At Profit Systems Inc. when we supply our EventPro & PMXpert products we supply much more than software. Every venue, facility, event or maintenance department has it's own unique quirks and requirements which we stringently analyse to carefully tailor an overall solution to your management software needs.
Business analysis comes as part of the package when creating your customised and personalised database. We then tailor your EventPro or PMXpert processes for you which leads into a training schedule that suits your exact business requirements. We believe that this personal service plays a big part in the overall success of all of our installations and the overwhelming satisfaction of our clients.
An installation of EventPro or EventPro Planner may go something like this:
Business Analysis, Database Customisation and Training
On-site training is an integral part of fully implementing EventPro Software at your company. There are two major advantages to on-site business analysis, database customisation and training:
- The face-to-face time with your company allows us to determine exactly what you want to achieve using EventPro which enables us to incorporate all of your required business processes into EventPro.
- Your company will receive hands-on, in-depth training for the processes you can use to reach the full potential of the software.
One major advantage of EventPro is the ability to customise the software and create a complete process that reflects all of your company’s needs. Working with an experienced trainer for 5 days will help to ensure that the processes are properly set up for your company, increasing the likelihood that users will use the program consistently and effectively to maximise the benefits and use of your EventPro Software investment. It is suggested that the 5 onsite training days are held on concurrent business days to keep the best possible flow for the entire process and best ensure the effectiveness of the training.
To ensure that you receive maximum value from the business analysis, database customisation and training, we typically follow the schedule below. Please click on each of the 5 steps for detailed information.

As soon as we receive confirmation of training dates, we will send you Setup Spreadsheets. These spreadsheets will ask for most of the information you need to set up your database. Pass copies of the Setup Spreadsheets amongst the members of your company to brainstorm for ideas.
As you work through the spreadsheets, you may come across items you have never considered. Because many EventPro clients have similar data and processes, we provide standard examples in each spreadsheet. You can follow the examples or, because EventPro is very flexible, you can enter completely different items if required for your business. If you have any questions about items in the spreadsheets, this is the perfect time to contact your trainer. You can clarify what information is required now, so that setup later moves more quickly.
When you complete a final copy of the spreadsheets to the best of your ability, send it to your trainer at least 7 business days before the first day of training. The trainer will then review the information and may ask you to edit some portions of the spreadsheets. A small investment of your time now will prevent many hours of backtracking in the future.
It is ideal to complete Days 1 to 4 of training on one computer with a projector, so that all participants can see the screen and feel involved in the process. Another option is to have users on individual workstations, but this sometimes makes it difficult for users to follow and stay focused on the trainer.
Overview
The first step of training is a two to three hour Overview, which covers most of EventPro’s features while reviewing a full event booking, from the first enquiry to sending a thank you letter after the event. This is an important part of the training process for three reasons:
- Some people present at training may not have seen the evaluation version or the sales demonstration. This overview ensures they have not missed anything.
- Although you may not use some of the software features initially, it is advantageous for you to at least know about them. One day, you may find that you want to perform a certain task. Although you may not remember exactly how to perform the task, you will know that there is such a feature in the program and you can consult the user manual or Support for assistance.
- As the trainer works through an event, you will start thinking about how it compares to the specific processes at your company. Your notes will later assist the trainer with customising EventPro for your business.
Business Analysis and Database Finalisation
When the overview is complete, we need to gather together everyone at the company who should have input into the setup of your EventPro database. At the very least, this should include management of the department. However, if all users are available, it is ideal to include them, as they can all provide valuable input about how EventPro will be used in day-to-day activities and we find that users appreciate that they had input into the system.
Setup is an extremely important part of the training. The trainer and trainees will go through every setup area and table in EventPro. The trainer will also guide you through adding users, setting up user emails and establishing user rights. Not only will you finalise all the information you currently require, but you will also learn how to add items that may arise in the future.
Establishing Your Event Process
The combination of the Overview, Business Analysis and Database Finalisation will help you with the next step, in which you and your trainer establish your company’s overall event process. Of course, all companies will have variable requirements and your trainer will consider these variables when helping you set up EventPro. When your event process has been established, including setting up all required Letter Templates and adjusting required Reports, you will proceed with the next step of training.

If all of the users have not yet been present at training, they must now attend the following sessions.
The trainer will briefly review the various areas and functions of EventPro. Afterwards, the trainer will guide you through your customised event process as often as time permits. Preferably, you will be able to enter real bookings newly received at your company while the trainer is present to guide you and refine the process as necessary.
This training session will not cover every detail and function of the software. When you are learning to use an entirely new system, it is not practical to expect to remember every little detail. Our training goal is to ensure that you can complete your basic day-to-day event process, which involves processes such as logging in, entering an enquiry or event, recording all details of the event, sending the relevant documents to your clients, creating and emailing invoices, recording payments, sending thank you letters. Once you are secure with this process, you will be able to more easily learn other, more advanced features of EventPro and incorporate them into your business.

During the last day of training, your trainer will guide you through any final adjustments to the process, letters, reports, etc. The trainer will also ensure all users can log in and send emails. All users should try to enter actual bookings using the event process at least once before the trainer leaves. If there is time, the trainer will guide users through the process of customising some reports.

Your trainer will follow up in 14 days to see how the event process is working for you and whether you have any further questions. Please remember that the first year Upgrade Protection Plan is part of your initial EventPro purchase and entitles you to unlimited phone and email support which can be accessed Monday to Friday (excluding public holidays), 9:00am to 5:00pm AEST for any and all questions that you may have.

The Upgrade Protection Plan (UPP) is an annual Support Contract that provides you with access to these exclusive benefits:
- New and Enhanced Software Features, delivered through two scheduled Upgrades per year and numerous updates throughout the year. In the program, click on Help | What’s New to see the list of new features, enhancements and fixes.
- The "Suggestion Box". Suggestions from our UPP customers are our main source of new ideas for the software.
- Software Hotfixes as required.
- Unlimited Software Support via telephone, email and fax. Monday to Friday (excluding NSW public holidays), 9:00am to 5:00pm AEST (or AEDST).
- Comprehensive User Manuals that are regularly updated by our in-house Documents Department to reflect current software development.
- The EventPro, EventPro Planner or PMXpert Connection, our quarterly newsletters, which provide company news, software feature demonstrations, helpful hints and promotions.
- The EventPro, EventPro Planner or PMXpert Bulletin, which provides information about updates and upgrades for assisting technical staff with network maintenance.
- The EventPro, EventPro Planner or PMXpert Support Website, which includes 24-hour access to the newest Downloads, frequently asked questions (FAQs), "What's New" (a list of latest enhancements), Bug Report forms, File Uploading and more.
Other Services
- Retraining - Many of our clients periodically make use of our professional on-site retraining services as they have new staff come on board. This will ensure that the new staff receive the same level of professional training that the existing staff received so that your organisation continues to maximise the benefits of the software.
- Custom Report Writing - Occasionally clients have special reporting needs which fall outside of the abundance of standard reports in our systems. In these circumstances we can quote on our custom report creation services.
- Process Reviews - All businesses change over time, whether it be the core business or small process changes. Profit Systems Inc. offers Process Review services where we can re-analyse your software processes to take into account your changing business needs. These services are often combined with retraining.
